Appointments
Appointments will be confirmed via email with full booking details. Clients are requested to attend the clinic at their scheduled appointment time only.
Booking fee
Inscribed Cosmetics operates a strict non-refundable and non-transferable booking fee policy. A booking fee is required for all appointments and will be deducted from the cost of treatment on the day.
Treatments under £50: full treatment amount as booking fee.
Treatments over £50: £50 booking fee
Booking fees:
- Are non-refundable under any circumstance.
- Are Non-transferable to another person or service.
- Must be paid to secure an appointment.
Treatment packages must be paid in full at the time of booking, unless an agreed payment plan has been set up and confirmed at the time of purchase. Packages cannot be downgraded, split into single sessions, refunded, or transferred to other services. By purchasing a package, you agree to the specified number of sessions for that treatment. Appointments are only confirmed once the booking fee has been received If the booking fee is not received within 1 hour of the appointment being offered, the appointment may be released to another client. Booking fees are payable by card payment only.
Payment method
Booking fees are payable by card payment only, to secure an appointment date and time. All remaining treatment payments must be paid in full prior to treatment commencing. Payments are accepted via card payment, BACS, or cash, unless stated otherwise.
Refund Policy
All payments made to Inscribed Cosmetics, including booking fees, treatment payments, and package purchases, are non-refundable under any circumstance. Refunds will not be provided for:
- Client-initiated cancellations or no-shows.
- Failure to attend appointments on time.
- Change of mind after booking or treatment purchase.
- Partially used or unused treatment packages.
- Failure to provide photo ID for treatment to commence.
- You are deemed unsuitable for treatment.
This does not affect your statutory rights
Card on File
By providing your card details at the time of booking, you agree that your card may be stored securely by our third-party booking system in accordance with PCI DSS standards. Your card may be charged for:
- Booking fees.
- Late cancellations, no-shows or missed appointments due to lateness.
- Any outstanding balances for treatments or packages.
Personal data
- Inscribed Cosmetics collects and stores personal data, including contact details, medical information, and treatment history, for the purposes of providing safe and effective treatments.
- Personal data is held securely and in accordance with UK GDPR. Only authorised staff have access to your information.
- Your data will not be shared with third parties except as required to provide treatments, comply with the law, or protect your safety.
Cancellation & Rescheduling
- A minimum of 48 hours’ notice before the appointment start time is required to reschedule any appointment.
- Appointments may only be rescheduled once with at least 48 hours’ notice. A new appointment date must be secured within 7 days of the reschedule request, and the rescheduled appointment must take place within 2 months of the original appointment date.
- Further changes will require a new booking fee.
- All cancellations (unless rescheduled in accordance with these terms) will result in loss of booking fee.
Late Cancellations / Late reschedule request / No-Shows
Cancellations or reschedule requests within 48 hours of the appointment, or failure to attend without notice (no-show), will result in:
- Loss of the booking fee.
- 100% charge of unpaid treatment cost.
- Loss of session if the appointment is part of a treatment package.
Rebooking following late cancellation or no-show
- Any outstanding balances must be paid in full before a new appointment can be booked.
- A new booking fee is required to secure any future appointment.
- Each new appointment will require payment of the full treatment price, payable in advance or on the day of appointment before treatment commences.
- Previous booking fees and payments made for late cancellations, late rescheduling or no-shows are non-refundable and non-transferable, and will not be credited towards the cost of any future appointment.
- Any missed package session is forfeited, unless you wish to retain the session. In which case the full value of that session from the package must be paid before it can be rebooked.
By providing your card details at the time of booking, you agree that any unpaid treatment cost due to late cancellation or failure to attend, will be charged to your card on file.
Clients who fail to attend two appointments without notice, or cancel within 48 hours twice, will no longer be able to book future appointments with Inscribed Cosmetics.
Package appointments
Treatment packages may consist of discounted treatments, complimentary sessions, promotional offers or bespoke pricing. The package structure and inclusions will be confirmed at the time of purchase.
If you purchase a treatment package, payment must be made in full upfront or via an agreed payment provider at the time of booking. Package appointments are subject to these Terms & Conditions in addition to any package-specific terms.
- Once your package has been paid in full, no further booking fee will be required for subsequent package appointments.
- You must provide at least 48 hours’ notice before your appointment start time if you wish to reschedule a package session. Failure to do so, or failure to attend, will result in the loss of that treatment session. If you wish to retain the session, the full individual value of that treatment must be paid before it can be rebooked.
- Clients who fail to attend two appointments without notice, or cancel within 48 hours of the appointment start time on two occasions, will no longer be permitted to book with Inscribed Cosmetics. Any remaining package sessions may be forfeited.
- Treatment packages are non-refundable, non-transferable and cannot be exchanged for cash, credit, alternative treatments or other treatment areas.
- Where a package includes complimentary treatments or promotional benefits, these have no cash value and cannot be exchanged for cash, credit or refund.
- Packages remain subject to all applicable provisions of these Terms & Conditions, including the clinic’s booking, cancellation, clinic cancellation, expiry and refusal of treatment policies.
Package Expiry
- All laser hair removal and laser tattoo removal packages must be used within 18 months of the first treatment session.
- Carbon laser peel packages must be used within 6 months of the first treatment session.
- Any sessions not used within the applicable package validity period will be forfeited.
- Package validity may be extended only in cases of pregnancy, breastfeeding, medical conditions (see below), or where a clinic cancellation by Inscribed Cosmetics would otherwise prevent completion of the package within the original validity period.
- Any extension granted following a clinic cancellation will be limited to the period of disruption directly caused by the relevant circumstances. This extension applies only to delays directly attributable to those circumstances and does not apply to any subsequent delays caused by the client.
Packages & medical conditions
- If you become pregnant or start breastfeeding during a course of treatments, your package will be placed on hold immediately.
- If a medical condition prevents treatment, your package may also be placed on hold at clinic discretion. Confirmation from your GP or specialist may be requested.
- Package expiry may be extended by up to 12 months to allow safe resumption.
- Any unused sessions remain valid only within this extended timeframe.
- No refunds will be provided for unused sessions due to pregnancy, breastfeeding, or medical conditions.
Promotional Offers
If an appointment booked under a promotional offer is cancelled or rescheduled without 48 hours’ notice before the appointment start time, the promotional discount will no longer apply. Where rescheduling occurs with appropriate notice, the original promotional terms apply and the appointment must be taken before the offer expiry date. If this is not possible due to clinic availability, the offer will no longer be valid.
Complimentary Top-Ups
Failure to provide at least 48 hours’ notice before appointment start time to reschedule a complimentary top-up appointment will result in applicable top-up charges when rebooking.
Clinic Cancellations
Inscribed Cosmetics reserves the right to cancel and reschedule appointments due to emergencies, unforeseen circumstances, or acts beyond our reasonable control, including but not limited to:
- Family emergencies
- Bereavement
- Severe weather or natural disasters
- Power outages, technical, or equipment failures
- Public health restrictions or government-mandated closures
Practitioner illness or emergencies
In such cases, booking fees remain non-refundable and will be transferred to the rearranged appointment.
Inscribed Cosmetics is not liable for any consequential losses incurred due to clinic cancellations.
Where an appointment is cancelled by Inscribed Cosmetics, clients will be offered priority rebooking before new appointments are released. Such circumstances do not constitute a missed treatment and do not create an entitlement to complimentary treatments, additional sessions or compensation.
Clients offered priority rebooking must respond within 14 days of the invitation being sent. The replacement appointment itself may take place at a later date, subject to availability.
If no response is received within 14 days, the priority rebooking offer will automatically lapse, and any future appointment requests will be treated as new booking requests in accordance with the clinic’s booking policy.
Individual Treatment Bookings
- For individual treatment bookings, the original booking fee will be transferred to the priority rebooking appointment, provided the client accepts the priority rebooking invitation within 14 days.
- If no response is received within 14 days, the priority rebooking offer will lapse. The transferred booking fee will expire and cannot be transferred to any future appointment. Any future booking request will be treated as a new booking, and a new booking fee will be required to secure the appointment.
Prepaid Treatment Packages
- For prepaid treatment packages, the original package terms and conditions, including the recommended treatment intervals and package validity period, will continue to apply.
- Where a clinic cancellation would otherwise prevent a client from completing their package within its validity period, Inscribed Cosmetics will extend the package validity by a reasonable period equivalent to the disruption caused by the clinic cancellation. This extension applies only to delays directly attributable to the clinic cancellation and does not apply to any subsequent delays caused by the client.
- Where the priority rebooking offer has lapsed, any subsequent appointment requests will be booked in accordance with the clinic’s normal availability.
- Where a client fails to respond to a priority rebooking invitation within 14 days and subsequently fails to arrange a replacement appointment, the cancelled treatment session may be treated as a missed appointment and may be forfeited in accordance with the clinic’s package cancellation policy. Any remaining package sessions will continue to be subject to the applicable package validity period and these Terms & Conditions.
- Following the priority rebooking process (and any applicable package extension), clients remain responsible for booking and attending all future appointments within the applicable package validity period and in accordance with the recommended treatment intervals. Failure to do so may result in any remaining treatments expiring in accordance with the clinic’s package terms and conditions.
- Where multiple clinic cancellations occur due to unforeseen circumstances, clients will not become entitled to complimentary treatments, additional sessions, refunds or repeated package extensions beyond the period of disruption directly caused by the clinic cancellation.
Inscribed Cosmetics will always endeavour to minimise disruption and appreciates clients’ understanding should exceptional circumstances arise.
Punctuality
Please notify the clinic as soon as possible if you are going to be late for your appointment. Arriving more than 10 minutes late will result in automatic cancellation of the appointment. In such cases:
- 100% charge of unpaid treatment cost is applied, in line with our late cancellation and no-show policy. This will be charged to the card on file.
- This amount must be paid in full before a new appointment can be booked, and a new booking fee will be required to secure the rebooked appointment.
- Any rebooked appointment will be charged at the full treatment price as a new appointment, in addition to any outstanding charges and the booking fee.
Sickness
Please do not attend your appointment if you are unwell, as many treatments are contraindicated. If unsure, contact the clinic prior to your appointment.
Consultations, Medical Information and Consent forms
Clients are required to complete a medical questionnaire and consent form prior to treatment and disclose all relevant medical information. Failure to disclose information may result in treatment refusal, and Inscribed Cosmetics will not be held liable for undisclosed conditions. You must report any changes at future appointments.
Aftercare
By signing your consent form and agreeing to these Terms & Conditions, you agree to follow all aftercare instructions provided. Aftercare guidance will be explained at your appointment and emailed following treatment.
Tattoo appointments
For custom fine line tattoo appointments, all reference images and ideas must be submitted at least 7 days prior to the appointment. Failure to do so will result in cancellation and loss of booking fee. Final designs must be approved 48 hours before the appointment, or the appointment may be cancelled resulting in loss of booking fee.
Refusal of treatment
Inscribed Cosmetics reserves the right to refuse, cancel or discontinue treatment, refuse future bookings, or terminate the professional relationship where a client:
- Fails to disclose relevant medical conditions or changes to their medical history.
- Fails to follow pre-treatment instructions or aftercare advice.
Poses a risk to the health, safety or wellbeing of themselves, the practitioner or others.
- Displays abusive, aggressive, threatening, intimidating, harassing or persistently disrespectful behaviour towards the practitioner, whether in person, by telephone, email, social media or messaging services.
- Makes repeated unreasonable demands or persistently challenges the clinic’s policies, including requests for complimentary treatments, refunds or compensation that are contrary to these Terms & Conditions.
- Has outstanding payments or outstanding cancellation fees.
- Repeatedly cancels, reschedules or fails to attend appointments in breach of the clinic’s booking policy.
- Otherwise acts in a manner that prevents Inscribed Cosmetics from providing treatment safely, professionally or appropriately.
Where treatment is refused or discontinued for any of the reasons set out above, any applicable cancellation charges will apply. Inscribed Cosmetics reserves the right to decline future appointments and, where appropriate, terminate any remaining treatment course.
Booking fees remain strictly non-refundable.
Where treatment is terminated by Inscribed Cosmetics under this clause, any booking fees, treatment packages or payments already made will be dealt with in accordance with these Terms & Conditions.
These measures are in place to protect the wellbeing, safety and dignity of the practitioner whilst maintaining a respectful, safe and professional environment for all clients.
Under 18s, plus ones and animals
All treatments are strictly for clients aged 18 and over, unless otherwise stated. Photo ID will be required. Children and animals are not permitted in the clinic. Clients are encouraged to attend appointments alone.
Personal belongings
Inscribed Cosmetics accepts no responsibility for loss or damage to personal belongings.
Gift vouchers
Gift vouchers are non-refundable, non-exchangeable for cash, and valid for 6 months from the date of purchase. Vouchers cannot be used in conjunction with promotional offers. Gift vouchers cannot be reinstated if lost or expired.
